Part-Time Office Manager/Communications Director

We are looking for a part-time Office Manager to organize and coordinate administration duties and to be in charge of our communications needs including creating our weekly bulletin and monthly newsletter. The best candidate is a natural self-starter who is experienced in MS Office and a variety of office software (email tools, spreadsheets, etc...) and can accurately handle administrative and bookkeeping duties. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve church procedures and day to day operations. Ideal for a retired teacher or office professional.

Responsibilities:

  • Answer, screen and respond to phone calls, emails and voice messages
  • Receive and direct visitors
  • Enter financial giving and attendance data
  • Coordinate and maintain church building use calendar
  • Design, edit and assemble all communications materials including newsletters, weekly bulletins, social media and other online content
  • Receive and sort incoming mail
  • Provide general administrative and clerical support to the church members including copying, printing and faxing materials as needed
  • Schedule and coordinate meetings for the pastor
  • Prepare and modify documents
  • Maintain electronic and hard copy filing system
  • Maintain office supplies inventories
  • Facilitate completion of annual reports with the pastor and church members

Requirements:

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Word,and MS Excel in particular)
  • Hands-on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email and social media (Facebook, Twitter)
  • Attention to detail and problem-solving skills
  • Natural self-starter who can work independently
  • A creative mind with an ability to suggest improvements
  • Accounting and bookkeeping experience
  • High school diploma required; additional qualification as an Administrative Assistant, Office Manager or Secretary will be a plus.
